Apex Specialty Referral ("Apex") is committed to protecting the privacy of patient and provider information collected through our platform. This policy describes what information we collect, how we use it, and the choices you have.
Information We Collect
We collect referral data submitted by general dentists on behalf of their patients, including patient name, contact information (phone number, email), insurance information, reason for referral, and any uploaded clinical attachments. We also collect appointment scheduling data and communication preferences.
How We Use Information
Information collected through Apex is used solely to facilitate the specialty referral process: routing referrals to the appropriate specialist practice, verifying insurance eligibility, communicating appointment information to patients, and notifying referring providers of patient progress.
Information Sharing
We share patient information only with the referring dental practice and the specialist practice involved in that patient's care. We do not sell or rent patient information to third parties. We do not share information for marketing purposes.
SMS Communications
Patients consent to receive SMS notifications about their specialty referral when their referring dentist submits a referral on their behalf. SMS messages contain appointment information, cost estimates, and scheduling links related to the patient's referral. Message frequency varies based on referral activity. Message and data rates may apply. Patients may opt out at any time by replying STOP. Patients may request assistance by replying HELP.
Data Security
Apex implements industry-standard security practices to protect referral information, including encrypted data transmission and storage. While we follow HIPAA-aligned practices, the demo version of Apex is intended for testing and demonstration purposes only and should not be used for protected health information until production-grade Business Associate Agreements are in place with all third-party providers.
